Privacy Policy
Last updated: 17 October 2026
1. We respect your privacy
Independent Movers ("we", "us", "our") runs a mobility, strength and balance program for older adults through our app and website. This policy explains what personal information we collect, why, who we share it with and how we look after it. We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
"Personal information" means information that identifies you, or could reasonably identify you. Some of what we collect is health information, which the law treats as sensitive. We collect it only with your consent and only to provide and improve the program.
2. What we collect
When you create an account: your first and last name, email address, phone number (optional), year of birth and password. We store your password only in a scrambled (hashed) form that nobody, including us, can read. We email you a code to confirm your address.
Health and exercise information, when you use the app:
- your answers to the nine safety questions, and the date you confirmed a doctor has cleared you to exercise, if you answered "yes" to any
- your assessment and reassessment results: the level you chose for each movement, any test you could not yet do, whether you skipped the overhead test, and your answers to the cardio questions (such as how long you can walk or run)
- your program: the date you started, the sessions and exercises you tick off, exercises you mark "too hard", the steps and distances you enter, and the days you open the app
Community features, if you use them: the friends you add, friend requests, nudges, sessions you share to the news feed, cheers, milestones and report cards you share, your profile photo, and whether you share your progress with friends.
Referrals: if you join with a friend's referral code, we record who invited you. That member sees your first name and last initial, and whether you have chosen a paid plan (so they know you have both earned a free month). They never see your results or your health answers.
Reminder emails, if you turn them on: the time you want them and your time zone (taken from your device), so we send them at the right time.
Feedback and your story: the rating and comments you give at the end of your 12 weeks, and any story you write about how the program went for you, with a photo if you add one, and your choice about whether we may share it.
On our website:
- what you send through our contact, consultation, referral, pilot and gift forms (such as names, contact details and your message). If a health professional refers you, or someone asks us to send you the program as a gift, we receive the details they give us about you.
- the free balance self-check: your answers stay in your browser unless you ask us to email your results. Then we receive your email address, your first name if you give it, your answers and score, who suggested the check, and whether you would like occasional tips by email.
Technical information: like any website, the services that host our site and play our videos receive your device's IP address and basic browser details when you use them, and may keep them in their logs for security and to fix problems. We do not use advertising or analytics trackers.
Payments: the program is free while we test it. When paid plans start, payments will be handled by a payment provider. We will not see or store your card details.
3. How we collect it
We collect information directly from you: when you fill in the app's screens and forms, tick off sessions, use the community features or send us a form or email. We receive information from someone else only when a health professional refers you to us, a care provider enrols you, or a family member or friend asks us to set the program up for you as a gift. If that happens, we will tell you when we first contact you.
4. How we use it
- To check the program is suitable for you and set it at the right level for each movement
- To run your account and give you your program, videos, progress and community features
- To support you: when you create an account and when you finish your first assessment, our team is emailed your name, contact details, year of birth, program and starting levels so we can help if needed
- To reply to your messages, referrals and requests, and arrange consultations
- To email you confirmation codes, password-reset links and, if you asked, daily reminders about your session and your balance self-check results and tips
- To keep the service secure, for example by limiting repeated log-in attempts
- To improve the program, and, if you agree, to report how well it works (see section 5)
- To meet our legal obligations
We do not sell your personal information. We do not use your health information for marketing, and we do not send you marketing emails unless you have asked for them.
5. Your anonymised results
When you create an account you can choose to let us use your results, with your name and contact details removed and combined with other members' results, to report how well the program works and to improve it. This is optional: it is off unless you tick the box, and you can turn it on or off at any time in the app under Account > Privacy.
If you agree, we count your results in totals such as the number of members, age groups (never your exact year of birth), average starting and week-12 movement scores, how many members improved, the cardio programs members started on, how many sessions were completed and the average rating. These reports never include your name, email, phone, photo, story or safety answers, and we never give a figure for a group of fewer than five people, so that no one can be picked out.
We may publish these totals, for example on our website or in information for health professionals. If you turn the setting off, you will be left out of future reports, but we cannot change reports already published. If we ever want to use members' results for formal research, for example with a university, we will ask you separately first.
6. Who we share it with
Other members. Friends you connect with in the app see your first name and last initial, and your profile photo if you add one. A member you send a friend request to also sees them. Your streak, your sessions and steps for the last seven days and whether you have trained today are shown to your friends only if you turn on "Share my progress with friends". A session's exercises, a milestone you reach or your 12-week report card are shown only if you share them to the news feed, and you can remove them at any time. A shared report card shows your movement score at the start and at week 12, and how many levels you gained. Your safety answers are never shown to other members, and your assessment results only if you share your report card. If you share a milestone or report card picture to Facebook, Instagram or another app, that app's own privacy policy applies to it.
Your story. We publish your story only if you tell us we may, and only in the way you chose: with your first name and last initial, or without your name. We show your photo with it only if you add one and tick the box allowing it. We may shorten your story but will not change its meaning. You can ask us to take your story or photo down at any time.
A health professional who referred you. With your permission, we may send the person who referred you a summary of your assessment.
An organisation that provides the program to you. If a clinic, care provider or other organisation pays for your program, we will tell you before you start what that organisation will be able to see, such as your progress, and share it only on that basis. The organisation handles that information under its own privacy policy.
Service providers who help us run the service, only as much as they need to:
- Neon: our database, which holds your account, program and progress. It is hosted in Sydney, Australia.
- Netlify: hosts our website and app and stores what you send through our website forms. Its servers are in the United States.
- Resend: sends our emails, such as confirmation codes, password resets, balance self-check results and our team's notifications.
- Bunny.net (Bunny Stream): plays our exercise videos.
- Google Workspace (Google Sheets and Drive): our team keeps a copy of member records there, such as your contact details, program, levels and progress, so they can look after you. It is shared only with our team.
- Google Fonts: provides the lettering on our pages.
- From launch, a payment provider (such as Stripe) to take payments.
Others, when required. We may disclose information when the law requires it, for example under a court order, or to prevent a serious threat to someone's life, health or safety. If our business is sold or merged, your information may pass to the new owner, who must handle it under this policy.
7. Information stored overseas
Your account and health information is stored in Australia (Neon, Sydney). Some of our providers handle information outside Australia: Google may store our team's copy of member records (in Google Workspace) in other countries, Netlify (United States) runs the app's server functions and stores website form messages, Resend sends our emails, and Bunny.net and Google deliver videos and fonts from servers around the world. We choose providers with strong security and take reasonable steps to make sure they handle your information in line with the Australian Privacy Principles.
8. How we protect it
- All information travels between your device and our service over an encrypted (HTTPS) connection.
- Passwords, log-in tokens, email codes and reset links are stored only in scrambled (hashed) form.
- You stay logged in with one secure cookie that the page's scripts cannot read. It lasts up to 30 days and is removed when you log out.
- Log-ins are paused after repeated wrong passwords, and resetting your password logs you out on every device.
- Only our team can see members' information, and only to run and support the program.
No system is completely secure, and we cannot guarantee the security of information sent over the internet. If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the law requires.
9. Cookies and browser storage
The app uses one essential cookie to keep you logged in. We do not use cookies for advertising or tracking. Your balance self-check answers are kept in your browser while you take the check. Google Fonts and Bunny.net may receive your IP address when a page or video loads.
10. How long we keep it
We keep your account information for as long as your account is open, so your program and progress are there when you come back. If you ask us to close your account, we delete your personal information within 30 days, except where the law requires us to keep it. Website form messages and balance self-check details are kept for as long as we need them to reply and to send any tips you asked for, and you can ask us to delete them at any time. Totals already worked out from anonymised results (section 5) cannot identify you and are kept.
11. Seeing, correcting or deleting your information
You can see most of what we hold about you in the app: your details, health answers and assessment results are under Account and Progress. You can also ask us for a copy of your information, ask us to correct anything that is wrong, out of date or incomplete, or ask us to delete your account. Email us using the details below and we will respond within 30 days. We may need to confirm who you are first.
12. Your choices
- Turn sharing your progress with friends, and the use of your anonymised results, on or off at any time under Account > Privacy.
- Remove your profile photo, a shared session, milestone or report card, or a friend at any time.
- Turn daily reminder emails on or off, or change their time, under Account, or use the link in any reminder.
- Ask us to take down your story, or to stop sending you tips (reply "stop" to any tips email).
- Stop using the service and ask us to delete your account.
13. Links to other websites
Our site links to other websites and apps, for example when you share an invitation through Messenger, WhatsApp or email. We do not control them, and their own privacy policies apply.
14. Complaints
If you are concerned about how we have handled your information, please contact us first and we will try to put it right. We will reply within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC): oaic.gov.au or 1300 363 992.
15. Changes to this policy
We will update this policy when our service or the law changes. The latest version is always on this page, with the date it was last updated. If we make a significant change to how we use your information, we will tell you in the app or by email before it takes effect.
